So…

I’ve spent the last two decades or so mastering an EPM product skillset only to abandon it for something completely new and shiny. I’m starting fresh with OneStream CPM… where do I begin?

Before jumping headfirst into extended dimensionality, cubes, integrations, workflows, reports, and dashboards, I need a foundational understanding of the OneStream platform. I need to begin by wrapping my head around the technologies it runs on. In this first article, I will walk you through my experience standing up a OneStream server. This article is about my learning journey – please consult with your OneStream rep and/or partner for build guidelines and recommendations. The OneStream FX Installation & Configuration Guide is going to be my compass as I build out this ‘server’ on my Windows 10 laptop.

I need to prepare 3 key components (a web server, a database, and an app server). OneStream runs on Microsoft (VB.NET), so I will be using IIS and MS SQL Server for the first two. The third is going to be the OneStream server install itself.

Step 1: Setting up IIS

Getting IIS running on my laptop only took a few minutes. From the Control Panel >

Programs and Features, I launched the

Turn Windows features on or off, and then enabled Internet Information Services with a key focus on turning on everything .NET

Once the addition of IIS complete, I could see the new World Wide Web Publishing Service in my services console. I am not done with IIS yet, but for now I can move on to the database install.

Step 2: Setting up MS SQL Server

I chose to download and install the Developer edition of Microsoft SQL Server. This version is free – and hey – who doesn’t like free? My non-prod learning sandbox is a perfect use case.

A very quick Basic install of SQL Server lays down the database components I need for OneStream. Once the install was completed, the only add-on was the Studio (SSMS).

Just like IIS, I now see a new service – this time for MS SQL Server

 

Step 3: Setting up the Application

Part 1 – Installing the Server

With the first two steps completed in record time, I am now ready to focus on the main event – Configuring OneStream. I chose to install the latest version of OneStream – which at the time of writing was 6.2.1.

I ran the Server installer and checked all features (3 server types, and both utilities).

With the OneStream Web Server now installed, I circle back to IIS and see the addition of the OneStream Application Pools. A quick restart of IIS will start them.

One modification I needed to make was to change the “OneStreamAppAppPool” to start with the LocalService account so it could access the MS SQL database.

Part 2 – Creating the Databases

The next step is to get the 3 databases (Framework, Application, and State) created that OneStream will use to run the platform. The OneStream FX Database Configuration utility is where I go to create a new empty database. The wizard prompts for the MS SQL server and credential – for my laptop build, this localhost and Windows Authentication. I name the first database Framework.

Once the database is created, it requires the Framework tables to be generated and the OneStream license to be applied.


I repeat the steps above to create the Application & State databases. I name my application database Helios and my State database State. The Application database also requires the tables to be created, but State does not. I jump over to SSMS to confirm my databases – and… progress – YES there they are staring at me.

Now that the database connections have been setup in the utility, I export them via the Tools menu to be used in the App Server configuration.

Part 3 – Configuring the App Server

I need to enter 2 things into the Application Server configuration. First is the File Shared Root Folder and the second is importing the database connection details I just setup. I launched the OneStream XF Server Configuration utility and opened the default App Server file.

I point to the default directory:

C:\Program Files\OneStream Software\OneStreamAppRoot\OneStreamApp\App_Data and select the XFAppServerConfig.xml file. The File Share Root Folder has a default value of C:\OneStream\FileShare. I make sure this folder exists by creating it manually and granting IUSR full control.


The next step is to import the database connections. From the Tools menu, I select Import Database Server Connections and point to the file I exported when creating the databases.

I confirm the connections imported.

Part 4 – OK Let’s Wrap this thing up

Finally, I install the OneStream Client – selecting the complete install. Upon launching the OneStream Windows Application, I point the server address to my laptop and validate the connection. (http://localhost:50001/OneStreamWeb).

Then I enter the OneStream default credential and… … BOOM – successful login. I don’t have any applications yet, so I only see the (System Administration) application option.

 

Conclusion

Obviously, this was as simple of a build as you could do. But, I have to say the entire process was pretty straight forward. Having done countless Oracle EPM builds during my infrastructure days, the first thing I’m noticing is the simplicity of the install. I didn’t have to set up a dozen + databases, I didn’t have to install several server component packages, I didn’t have to deploy each web service individually…. it all just ‘worked’.

As accounting practices have evolved over time, not much has been said to challenge the traditional model, which fundamentally is as simple as ‘capture first, analyze second.’ And why would you? After all, you can’t analyze what you don’t have. For smaller companies and start-ups, this idea still holds true.

But for most of you reading this, getting the account data isn’t the problem – it’s analyzing what you’ve got that is most impactful to the business moving forward.

In the ‘standard’ approach, the next step would be to, well, ‘standardize’ the data, and what better way to do that than to have everybody in lockstep on the data capture front. Bring new acquisitions into the fold by forcing them to use a company standard Enterprise Resource Planning (‘ERP’) platform. Roll that out throughout the entire company, the thinking goes, and the data will all be precisely what you want!

OK, that sure sounds great – but do you have the time? According to this study by ArcherPoint, the average ERP project can take up to two YEARS to complete! In the grand scheme of things, that may not sound like a lot, but the business world waits for no one and two years is literally a lifetime of countless businesses over the years.

Perhaps it’s time for turn conventional wisdom on its head and consider CPM before ERP. Here are four compelling reasons for you to consider.

Users first, data second. As mentioned above, data is certainly crucial, but it’s the information that we can glean from the gathered data that is more important. Most legacy CPM systems were designed primarily for a small cadre of analysts and data entry specialists in the finance department. This specialization essentially cut front-line managers out of the planning and analysis process and added more process steps (as well as much more time) to the planning and forecasting cycles. Meaning the last person to see the data was the person who needed it most – the user.

The OneStream XF platform is not only user-friendly, it’s available everywhere. Cloud-based deployment means that decision-makers throughout the company can immediately understand how the business is performing and quickly calculation the implications of potential operational changes, financial or otherwise. Taking two to three years to implement a transactional system is hardly making your organization as nimble as it needs to be to meet rapidly changing business requirements.

CPM <> Cloud ERP. Measure performance and strategy first, identify transactional gaps second. Use CPM to drive out the changes required in the move to cloud ERP. In the past, ERP implementations tended to follow a regimented hierarchy: transaction systems first, analytics systems second. Again, this seems logical at first glance, especially since legacy analytics systems were built from the data up. But that’s not how anybody runs a business. Fundamentally, any business focused on long-term success start with strategies to drive shareholder value, create the objectives to achieve that value, and put in place the metrics to measure those objectives. This makes the selection, and implementation, of the analytics platform even more critical.

Every company can adapt. Chances are high that your current transactional system was put in place when your business was very different than it is today, and likely for good reason (at least back then). And odds are high that your business will continue to change – reorganizations, organic growth, new lines of business, acquisitions, IPOs – any or all of these will impact the operation of your organization. A properly designed CPM platform like OneStream XF gives you the ability to add or remove, reorganize or consolidate, all without extensive back-end coding know-how. While change will always be in fashion, so too will come flexibility and control.

CPM helps ERP ROI – Designing back-end architectures by thinking first how ERP will serve CPM (and not the other way around) builds enormous flexibility into your planning and forecasting capabilities. But a flexible CPM system can also accelerate an ERP implementation and minimize risk. A well-designed CPM-then-ERP implementation will allow you access to capabilities that previously required weeks of customization, if they were possible at all. Among them, the ability to:

  • Quickly “prove out” Chart of Accounts modifications with rapid prototyping and mapping.
  • Harmonize financial reports by tying CPM data to known systems like an existing GL, then validate the new GL system, and finally load old and new GL information simultaneously to validate the conversion.
  • Create a single financial analytics platform that allows for a seamless, sane transition from old GL systems to new ones.

This is what flexible CPM + Analytics looks like. And what will it get you? Alignment of strategy to technology, democratization of planning and analytics, lower operating costs, faster Cloud ERP implementations thanks to fewer reworks, and the ability to see where you can improve your Cloud ERP implementation while it’s happening, not long after the fact when it’s too time-consuming or expensive to fix it.

Consider CPM and analytics solutions before you upgrade your Cloud ERP, and chances are you’ll be happier with all three.

How OneStream Software offers the most customer-focused cloud offering in the industry.

After years of being a happy OneStream customer and gaining insider insight into the SaaS software industry, I want to set the record straight on cloud offerings in the Corporate Performance Management market. In this article, I will attempt to give a detailed review of a client experience utilizing OneStream’s Azure cloud solution and compare/contrast this with the current “True SaaS” solutions.

Business Leaders evaluating cloud software have important questions to ask. The first should be to ask how the product produces the best outcome for your business and what are the key criteria that should be used to measure performance and reliability in cloud offerings. Below are a few categories that evaluators should consider:

Other Considerations

Incentives: One of the “secrets” of cloud software is that there are incentives at play when selling the solution. One is that the vendor often believes the costs of the cloud to support the product are trending downward for either option. Investor expectations often include an assumption that the “True SaaS” products have steady or increasing license costs with a declining cost of sales. With OneStream, the customer reaps the full benefit of cloud cost reductions or performance improvements during this process. Carefully consider which benefits your company more.

Change Control: It is true that changes to the “True Saas” solutions updates have historically been more frequent. While this sounds like a benefit, consider this carefully. This is an exciting feature for software with a limited scope. For software meeting complex and diverse use cases it can be dangerous. Customers in these areas often have situations that were difficult to foresee in the vendor’s testing. Vendor quality control is essential in both categories, and deployment timing
flexibility may be an essential business requirement. Many wish to retain control of updates during yearend, acquisitions, restructuring, and legal hold situations. A vendor may claim zero defects, but past production rollouts that impacted the entire customer base adversely may tell a different story. Understand your testing requirements and windows.

Performance: It is critical to discover if your prospective solution meets your speed and consistency expectations. This can be very difficult to ascertain because “True SaaS” solutions can have terms and conditions that prohibit conducting benchmarking or disclosing any results. Make sure to understand if your solution performance slows during other customers’ peak activity. I have seen examples where a frustrated customer called support to hear than they needed to wait until other jobs have finished, and even one requesting that a customer reschedule high overhead jobs to a more opportune time. Diligently review the limitations of acceptable use, interview peers that are live, and incorporate dispute resolution in your contract.

Lock-in: Lock-in can be a challenge for any software. It can be an easy subject to miss during evaluation and can be a big challenge in the future. Evaluate how
difficult it is to extract 100% of your data, attachments, etc. Products vary significantly on this, and some could be described as “designed for lock-in”. If your product is sold to another vendor or supported with a different cloud what impacts does it have to your business? There are sometimes preferences of businesses to avoid one provider over another.

Security: Security can be very good with either option, though OneStream’s cloud offering approach is widely accepted to be the most secure. OneStream has been certified at leading levels (FedRAMP) that I have not seen other vendors match. Independently verify your expectations and your vendor’s offering when it is relevant to you.

Scalability: Scalability can be excellent with either option. In instances where it is at the discretion of the vendor, consider the vendor’s reputation, and ensure that
expectations are clear. In use cases where the load is evenly spread over time “true SaaS” solutions can be very cost-efficient and yield high performance. In
performance management and ERPs, there is often concurrent demand (nearly everyone closes monthly in the first days or weeks) that makes it difficult to reap
the full benefit. With OneStream, the cloud resources are determined by the customers’ use case and is dedicated.

Summary

As always, consider it essential to talk with multiple customers that have similar complexity and are live on any prospective solution. Ask your vendor for a 100% list of customers who have purchased the product (live or not) and talk with as many as you can.

OneStream’s cloud offering is the most customer-focused approach in the marketplace. While other vendors may disparage the approach, it is the one that
provides the power, reliability, and consistency needed for large enterprises. Full SaaS solutions have incentives present that can be a detriment to the customer. With OneStream customers retain control of their data, performance, and options in the future. Many will find this favorable compared to other researched alternative companies limiting expenses.

Robotics Without Robots

Most people hear Robotic Process Automation and immediately start picturing an assembly line, not unlike the one above. Repeatable processes handled in a highly efficient manner using purpose-built machines with exacting specifications. Every detail is monitored, every action precisely performed, all with an extremely low failure rate and, with proper maintenance, infinite repeat-ability.

Well, it turns out you can achieve the same sort of productivity gains and accuracy in using software systems – without any cumbersome robots getting in the way.

A recent survey conducted by OneStream Software (found here) revealed that the idea of Predictive Analytics, which is a perfect use case for Robotic Process Automation, is not some far-fetched idea. While only roughly 15% of those polled are currently using these types of predictive tools, nearly 40% were in the planning phases of using them to improve their business. As summarized by John O’Rourke, VP of Product Marketing at OneStream Software, “The target use cases for Predictive Analytics and ML are mostly on the revenue side of the business with Sales Forecasting and Demand Planning in the top five.” They recognize that the value of their data is not in the data itself; but rather in the information that can be systematically extracted from that data. That information, when projected forward, can then be used to predict what might happen in the future.

The stage data dashboard was initially developed for One Stream users and consultants coming from Hyperion/FDMEE.  In FDMEE the workflow displays both source and target data on one form.  You can filter by a target dimension and easily see what source accounts are mapped to the target.  This is very helpful when your mapping from source GL to target is not straightforward.  OneStream out of the box does not have this view for users.  While the drill-down capabilities are great it is very time-consuming to get to source/target data.  To address this, Black Diamond created the Stage Data Dashboard.

The Stage Data Dashboard contains Source and Target Dimensions.  The user can filter on any dimension as well as export the full data set to .csv.  The dashboard can be put on the workflow so users can troubleshoot data issues without IT or admin help.

Out of the box in OneStream, you have to drill into each line item to get the source items. The stage data dashboard has all the data on one screen.

Behind the Diamonds

In the late ’90s, I took a leap of faith – leaving my job as a finance manager at the wonderful world of Disney to join a company called Hyperion Solutions.

I was terrified to fly, had a full head of hair, and no clue what EPM was or what this cutting-edge technology called Essbase did.

What I did know was that the people that welcomed me were upbeat, positive thinkers, and incredibly passionate about what they were doing.

The work was hard, the hours were long, and I loved every second of it.   Being around people who were gifted with intelligence and personalities to match were with me the entire way through my early career and it taught me that what you do is not nearly important than WHO you do it with.

As time went on, people left for other opportunities, and eventually, Hyperion was sold. Thus, I had to move on to the next phase of my work life.

For the next 18 years, I tried to find that magical combination of people, passion, and product that matched what pulled me into this amazing career that I have had, only to find everything came up just short of those high expectations.  When I found OneStream a few years ago, I was optimistic that I may have found something; then I found the passionate people around it and I knew I found something.  The ‘why’ I do what I do was re-born. I am now surrounded by people at Black Diamond who have a passion for a product you can believe in, a group that believes that the culture of a company is something to be cherished and wake up every day excited about what rewarding experience awaits.

That is why I do what I do and why Black Diamond Advisory was established.
